Administrative Assistant (SAHPR Program) – Administrative & Program Support Department: Administration Employment Type: Full Time Location: National Science Foundation - Washington DC Area Description CONTINGENT HIRE NOTICE: This position is a contingent hire. Employment is contingent upon EDJ Associates, Inc. receiving a contract/task order award from the National Science Foundation (NSF). This is a hybrid position requiring some on-site support at NSF Headquarters. This position supports the National Science Foundation’s Office of Legislative and Public Affairs (OLPA) under the Administrative & Program Support Scope of Work. The role provides high-level administrative, programmatic, and operational support to ensure efficient office operations, accurate documentation, and effective coordination with internal and external stakeholders. Key Responsibilities • Manage calendars, correspondence, meetings, and document workflows • Prepare agendas, meeting minutes, reports, and briefing materials • Coordinate travel, training, reimbursements, and logistics • Maintain databases, tracking systems, templates, and distribution lists • Draft, edit, and format correspondence and official documents • Communicate with professionalism, discretion, and tact • Support metrics reporting and administrative process improvement • Collaborate closely with OLPA leadership, staff, and contractors Skills, Knowledge and Expertise • Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint • Experience with SharePoint, ServiceNow, and document management systems • Strong writing, editing, and formatting skills • Ability to distill complex or technical information into plain language • Knowledge of federal administrative procedures and professionalism standards • Attention to detail, time management, and multi-tasking ability • Experience supporting sensitive programs involving policy, compliance, or misconduct response • Ability to draft and edit guidance, FAQs, and policy materials related to sexual assault and harassment prevention • Familiarity with research, analysis, and editorial review in regulated environments Bachelor’s degree or equivalent professional experience required. Minimum of three (3) to seven (7) years of relevant administrative or program support experience, with preference for experience supporting federal agencies or senior leadership
