About Us:
My Private Villas is a luxury villa rental company offering exclusive high-end properties around the world. We work with discerning clients and trusted travel partners to provide exceptional holiday experiences. We are currently looking for a detail-oriented and reliable Administrative Assistant to support our Sales team and CEO with administrative, financial, and operational tasks.
Key Responsibilities:

Sales Support – Villa Bookings:

  • Assist the sales team with contract and payment processes related to villa bookings
  • Prepare booking contracts and payment invoices
  • Collect and manage bank details from clients and villa owners
  • Send reminders to clients and villa owners regarding contract signing and payment deadlines
  • Ensure timely refunds of unused security deposits to clients
  • Coordinate commission payments to travel agents for B2B bookings

Finance & CEO Assistance:

  • Prepare and maintain regular reports of upcoming payments to villa owners, agents, service providers, and for other company expenses
  • Submit reports for CEO’s review and approval
  • Complete transactions via online banking as instructed
  • Register and organize payment documentation for accounting purposes

General Administration:

  • Support the team with other administrative tasks as required
  • Maintain accurate internal records and filing systems

Requirements:

  • Previous experience in a similar administrative or finance assistant role
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Good understanding of invoicing, payment processing, and basic financial procedures
  • Proficient in legal terminology with proven experience in drafting, reviewing, and customizing legal contracts.
  • Ability to manage multiple tasks and deadlines efficiently
  • Comfortable working with spreadsheets and online banking platforms
  • Reliable, trustworthy, and discreet when handling sensitive information
  • Proficiency in Microsoft Office (especially Excel and Word)
  • Fluent in English (spoken and written)
