Penmac Staffing has teamed up with a local insurance agency in the Little Falls area in the search for an Administrative Assistant/Sales Person!
Job Summary: We are seeking a highly organized and motivated Administrative Assistant to join our team at a dynamic Insurance Agency. This individual will play a key role in supporting the daily operations of the office, assisting with the state licensing process for insurance sales, and providing support to clients with claim-related inquiries. The ideal candidate should possess strong communication skills, attention to detail, and a commitment to delivering exceptional customer service.

QUALIFICATIONS:

  • High school diploma or equivalent required; Associate or Bachelor’s degree preferred
  • Strong interest in obtaining state licensure for selling health insurance (training and support will be provided)
  • Must have previous experience in an administrative role and experience in either the health insurance or healthcare industry
  • Excellent verbal and written communication skills
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to handle customer concerns with professionalism and empathy
  • Attention to detail and the ability to multi-task in a fast-paced environment
  • Knowledge of health insurance plans, claims processes, and regulations is a plus

PREFERRED SKILLS AND EXPERIENCE:

  • Prior experience in customer service or insurance-related roles
  • Familiarity with health insurance claim processing or customer service platforms
  • A proactive attitude with a willingness to learn and grow within the organization
Responsibilities
  • Assist in obtaining and managing state licenses for the sale of health insurance
  • Respond to customer inquiries regarding health insurance claims, providing clear and accurate information
  • Maintain and organize records of client claims and policy details
  • Support the insurance sales team by preparing necessary documentation for new clients and renewals
  • Process paperwork related to health insurance claims, including the submission and follow-up of claims to ensure timely resolution
  • Provide administrative support to senior staff, including managing schedules, meetings, and correspondence
  • Ensure that all office activities comply with state regulations and industry standards
  • Manage client communication, including emails, phone calls, and follow-ups on claim statuses
  • Maintain filing systems and database entries for client and policy data
  • Perform other duties as assigned, including handling sensitive and confidential client information with the utmost care
