Overview
Off-Road Canada Inc., a leading e-commerce company specializing in aftermarket car and truck parts, is seeking a highly organized Administrative Secretary & Personal Assistant to support daily business operations. This role is central to keeping both the office and executive workflow running smoothly. The ideal candidate will be detail-oriented, adaptable, and comfortable working in a fast-paced environment while balancing clerical, administrative, and personal support tasks.

Responsibilities

  • Manage daily office operations, including filing, data entry, and record keeping.
  • Provide executive support by assisting the Director with scheduling, travel coordination, and day-to-day administrative needs.
  • Answer and direct calls, respond to inquiries, and ensure excellent customer service.
  • Assist with bookkeeping tasks, invoice tracking, and maintaining financial records (QuickBooks experience preferred).
  • Prepare and format documents, correspondence, and presentations using Microsoft Office and Google Workspace.
  • Proofread documents for accuracy and professionalism.
  • Support front desk activities, including greeting visitors and managing appointments.
  • Maintain confidentiality while handling sensitive company and customer information.
  • Collaborate with team members to streamline processes and improve efficiency.

Requirements

  • Proven experience in an administrative, executive assistant, or office support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Strong computer skills with the ability to quickly learn new systems and software.
  • Excellent organizational skills, with the ability to prioritize and multitask effectively.
  • Professional communication skills (written and verbal) and a polished phone manner.
  • Experience with bookkeeping or QuickBooks is an asset.
  • Strong proofreading and attention-to-detail skills.
  • Ability to work independently while supporting executive-level needs.
  • Previous experience in a fast-paced office or e-commerce environment is considered an advantage.
