Description Role Overview The Administrative Personnel will be responsible for managing essential documentation and administrative tasks that support the intake and ongoing care of foster children. This includes preparing intake packets, maintaining up-to-date medical and consent records, submitting billing authorizations, and assisting with other office duties to ensure regulatory and internal standards are met. Key Responsibilities Prepare and verify intake documentation before a child enters care Monitor and maintain compliance for foster child records, including physicals, dental visits, and consent forms Submit service authorization requests to LME/MCOs for billing purposes Keep accurate records and track deadlines for required documentation Organize and maintain both digital and physical filing systems Coordinate appointments and services with external providers Support staff with general office tasks such as data entry, correspondence, and reporting Ensure adherence to agency policies and state regulations Perform other administrative duties as needed Requirements Required Education & Experience: High School Diploma or GED plus at least 4 years of experience in office administration, clerical work, secretarial duties, or business operations Preferred Education & Experience: Associate's degree in business administration, Office Management, or a related field plus at least 1 year of relevant experience Skills & Competencies Strong organizational skills and attention to detail Familiarity with HIPAA regulations and confidentiality standards Ability to manage multiple tasks and meet deadlines Proficiency in Microsoft Office (Word, Excel, Outlook) and electronic record systems Clear and professional communication skills, both written and verbal Ability to work independently and as part of a team Understanding of Medicaid billing and LME/MCO procedures is a plus
