Description GENERAL DESCRIPTION OF THE POSITION: The Administrative Assistant at Tatum Psychology Employment Group provides comprehensive assistance to ensure the efficient operation of our office. The Administrative Assistant requires excellent communication skills, strong attention to detail, and the ability to manage multiple tasks simultaneously. Work Schedule: Part Time Monday, Tuesday, Thursday, and Friday 8:30am - 4:00pm ESSENTIAL FUNCTIONS: 1. Front Desk & Communication Support Answer and direct phone calls in a professional manner, taking messages when necessary. Greet visitors, clients, and employees warmly and assist as needed. Manage incoming and outgoing correspondence, including emails, letters, and packages. 2. Administrative & Clerical Support Assists administrative staff with clerical duties. Prepare and distribute documents. Open mail, organize office files, faxes, and scans documents to maintain patient and employee records. Maintain organized filing systems, both physical and digital, to ensure easy access to information. 3. Operational & Office Management Order office supplies and maintain inventory levels to ensure sufficient stock. Support the coordination of company events, meetings, and conferences. 4. Project & Research Assistance Conduct research, compile data, and assist with special projects as assigned. ADDITIONAL FUNCTIONS: Performs other duties as may be assigned. Follows and supports TPEG policies and procedures. Works collaboratively and cooperatively with internal and external partners. Represents TPEG, Inc., by embodying the mission, vision and values of the organization. Travels occasionally during the workday and on occasional overnight stay. (Compensation for mileage, food and lodging provided.) Maintains regular attendance at work and company activities and demonstrates punctuality regarding deadlines. Displays creativity and vision in recommending new tactics and strategies. Expands and updates job knowledge through educational opportunities and professional learning. RELATED EXPERIENCE: Proven experience in an administrative support role, or similar position. SKILLS: Strong leadership, communication, and organizational skills. Ability to work independently and as part of a team. OTHER EXPERIENCE / SKILLS REQUIRED: Strong interpersonal and communication skills. Demonstrated ability to manage multiple priorities in a fast-paced environment. Demonstrated ability to exercise judgment and integrity on the job with confidentiality, tact, and diplomacy. Demonstrated ability to complete work accurately and in a timely manner with attention to detail. Proficiency in word processing and database and/or spreadsheet applications. Physical and mental attributes sufficient to perform essential functions. Valid Driver's License PREFERRED QUALIFICATIONS: Office Administrator Certification (e.g., CAA, CAP, or PACE) Proficient in English Language Proficient communicator WORKING CONDITIONS: Work settings vary from offices, program sites, and stakeholder locations Travel modes can include the use of company or personal transportation
