Administrative Assistant — Socialubbi
Remote | Based in Vancouver & Silicon Valley
Socialubbi is a social media and digital marketing agency working with clients across North America in industries like hospitality, manufacturing, real estate, and more. We’re looking for a proactive and detail-oriented Administrative Assistant to partner with our founder in streamlining projects, scheduling, and client communications. This role is ideal for someone with a strong business or marketing background who thrives in a fast-paced, client-focused environment.
What You’ll Do:
- Partner directly with the founder to manage calendars, coordinate client meetings, and streamline project workflows
- Support client onboarding, contracts, and administrative documentation
- Organize and maintain files, reports, and presentations for internal and client use
- Assist in tracking deadlines, deliverables, and ongoing client projects
- Provide executive assistant support to clients, including scheduling, inbox management, and document preparation
- Contribute to marketing and brand development tasks as needed
What We’re Looking For:
- Bachelor’s degree in Business Administration, Marketing, or related field (or currently pursuing a degree)
- Minimum 2+ years of experience in administration, executive support, or a role with transferable skills
- Excellent organizational and multitasking skills, with strong attention to detail
- Exceptional written and verbal communication
- Proficiency in Google Workspace, Microsoft Office, and project management tools (Asana, Trello, or similar)
- Professional, proactive, and client-focused approach
- Ability to work independently while collaborating with a growing team
Preferred:
- Background in marketing, branding, or PR industries
- Familiarity with CRM systems and digital workflows
- Experience supporting executives or business owners

Job Types: Part-time, Casual, Internship / Co-op
Pay: $17.85-$20.00 per hour
Expected hours: 16 – 24 per week
