Description Job Summary: The Administrative Assistant is responsible for assisting both Parish Office and Faith Formation with various databases containing parishioners records’ as well as students’ records, and providing general administrative support in a hospitable manner to the Parish Offices. Ministerial Character The Pastor is the visible principle and foundation of unity in the Parish St. Helen Catholic Church - Georgetown, Texas which the Bishop has entrusted to him. He makes Christ’s mission present and enduring in the parish. In order to fulfill his mission, the Pastor employs suitable, chosen collaborators (clerics, religious, or lay people). He shares with them his mission and entrusts various responsibilities to them. Positions employed at St. Helen Catholic Church - Georgetown, Texas help to extend the ministry of the Pastor in particular ways as outlined in the job description. Therefore, the employee in this position is closely connected to and assists the Pastor in the performance of his ministry and thereby engages in ministry for the Church. Requirements Essential Job Duties: Support and uphold the philosophy of Catholic ministry and the mission of St. Helen Catholic Church in both your professional and personal life. Act as a witness to Gospel values by modeling the teachings of the Catholic Church. Continuously grow in your ministry by participating in religious ceremonies, training sessions, and reflection activities as directed. Provide, in a pleasant and professional manner, a hospitable welcome to all staff, volunteers, visitors, and callers to the Faith Formation Office, in order to create a welcoming, open, and helpful atmosphere. Parish Office: Assisting Church & Administrative Records Coordinator in the following areas, but not limited to: Assist in preparing certificates, record sacraments and deaths in the books and add information on Ministry Platform database (MP). Notify parishes of baptisms and marriages. Assist in preparing good standing letters, as well as letters for baptismal, marriage and quinceñeras at different church. Assist in maintaining and updating membership records in the MP and mail a welcome packet. Assist in maintaining and ordering parishioner contribution envelopes on a monthly basis. Assist in contribution postings Assist with mailing tax statements every January. Faith Formation Office: Maintain databases, including, but not limited to: attendance, folders, prepare folders, scan documents, prepare reports, print letters, etc. Create and maintain updated participant records on the appropriate databases, from contact information to sacramental records. Process payments received in the Faith Formation Office and prepare reports for the Finance Office in a timely manner. Assist, prepare and submit the information for the parish weekly bulletin in a timely manner. Assist with and attend special liturgical celebrations as required. Other duties: Collaborate with Parish Staff and assist the Parish Front Desk, as needed, in welcoming visitors, answering incoming phone calls, taking messages and routing them to staff in a timely manner. Maintains ability throughout the week in order to serve the needs of the parish to include pastor, staff, and volunteers during and outside of normal church office hours. Other duties as assigned. Knowledge, Skills and Abilities Knowledge of Roman Catholic teachings, parish and diocesan structure. Ability to work in a multi-cultural parish serving various cultures and a wide range of age groups. Ability to provide excellent customer service and work effectively with staff, clergy, and laity. Ability to build authentic relationships with adults rooted in Christ. Ability to effectively work with constant interruptions. Ability to operate various word-processing software, spreadsheets, and database programs. Ability to organize, prioritize and utilize effective time management techniques. Ability to maintain confidentiality at all times. Ability to carry out multiple tasks, meet deadlines, and implement creative solutions. Ability to follow instructions furnished in verbal or written format. Ability to proficiently communicate in English and Spanish (writing, reading and conversing). Minimum Qualifications: Education and Trainings: High School Diploma or GED acceptable to Texas Education Agency. Experience: Two (2) years of experience working is preferred. Language: Bilingual English-Spanish (proficient in writing, reading and conversing). Catholic Requirement: Must be a practicing Roman Catholic in good standing. Licenses/Certifications: Valid Texas driver’s license. Must maintain compliance with the Diocese of Austin Ethics and Integrity in Ministry (EIM) policies throughout the employment period. Working Conditions: All employees of the Parish are engaged in ministry and closely tied to the Pastor in the exercise of his ministry and obligations to the church. The Parish is an at-will employer. All buildings and vehicles owned by the Parish are tobacco free. Working in a fast paced environment with priorities and plans that may change rapidly. Working on weekends, evenings and some holidays is required. Will be exposed to religious ceremonies, conduct and speech including Catholic Christian prayer and liturgical celebrations. Will be required to adhere to established dress codes and conduct standards. May be required to use personal vehicle to drive off-site locations.
