Description

The Administrative Assistant will support the day-to-day operations of the charity by carrying out a wide range of administrative and office support tasks. This role ensures smooth communication, effective record keeping, and efficient running of the office, enabling the charity to deliver its services to the community.

Responsibilities
  • Answer incoming calls, respond to enquiries, and direct them to the appropriate team member.
  • Greet visitors, donors, and volunteers in a professional and welcoming manner.
  • Provide general administrative support including filing, scanning, photocopying, data entry and basic accounting.
  • Prepare and process correspondence, emails, and other documents as per the given instructions.
  • Maintain accurate records, databases, and mailing lists.
  • Support with procurement tasks such as placing office supply orders and monitoring stock levels.
  • Assist with scheduling meetings, preparing agendas, and taking minutes when required.
  • Manage incoming and outgoing mail.
  • Assist in organising events, donation drives, and fundraising campaigns.
  • Ensure confidentiality and safe handling of sensitive information.
  • Contribute to a positive, supportive, and professional work environment.
  • Take and process food/catering orders for events, programs, and meetings.
  • Liaise with the kitchen or catering team to ensure orders are prepared and delivered correctly and on time.
  • Ensure all catering orders are accurately invoiced and records are maintained.
