We are looking for a detail-oriented, proactive Administrative Assistant to join our team at our Geotechnical Laboratory. You’ll play a key role in keeping our office running smoothly, supporting a dynamic team, and ensuring that daily operations are efficient and well-organized. YOUR CAPABILITIES AND CREDENTIALS

  • We’re looking for a motivated and detail-oriented professional with a strong work ethic and excellent organizational skills. The ideal candidate thrives in fast-paced environments and is committed to delivering high-quality work—even under tight deadlines. You bring:
  • Experience in high-demand, fast-paced settings, with the ability to quickly adapt to evolving programs and processes
  • Strong critical thinking and problem-solving abilities
  • High proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), SharePoint, and Adobe Acrobat (Reader/Writer)
  • Experience with Microsoft 365 considered a strong asset
  • Excellent interpersonal and communication skills—capable of managing multiple priorities and time-sensitive deliverables
  • Strong written and verbal communication, with proven editing and formatting skills
  • Meticulous attention to detail, with experience in proofreading and document production
  • Ability to work independently and collaboratively within a team environment
  • Advanced proficiency in general office systems and procedures
  • Familiarity with health and safety administration and protocols is an asset
  • A general interest in geotechnical/civil engineering or construction is also considered an asset

EDUCATION & EXPERIENCE

  • Post-secondary education in Business, Business Administration, or a related field—or equivalent professional experience
  • Minimum of 2 years of experience in a professional office environment

Responsibilities

As an Administrative Assistant, you’ll play a vital role in supporting the success of your team and ensuring smooth daily operations. Your responsibilities will include:

  • Preparing and formatting correspondence, reports, forms, and proposals—applying company templates and customizing as needed
  • Maintaining well-organized internal filing systems and managing project archives and records
  • Creating and updating personnel resumes and project profiles on internal platforms
  • Supporting general office functions—maintaining supplies, health and safety equipment, and assisting with procurement
  • Coordinating meeting agendas, scheduling, and organizing external training sessions
  • Assisting staff with weekly timecard submissions and approvals
  • Supporting the onboarding process for new hires and employee transitions
  • Ensuring alignment with company policies, procedures, and standards
  • Serving as the Office Safety and Environment Coordinator (OSEC)—supporting HSSE training, participating in Joint Health and Safety Committee meetings, and being a go-to resource for local office HSSE activities
  • Taking on additional administrative duties as needed
