JOB OVERVIEW
The administrative assistant is responsible for providing administrative assistance to various departments as needed. This position has been created to leverage the efforts of the regional partnership development managers, regional account managers, regional recruiting managers, regional customer experience managers, payroll team lead, compliance team lead and their individual managers.
The administrative assistant may be involved with assisting in the clearance of approved staff; assisting in answering customer experience tickets, calls and emails; transferring candidate information from different systems; adding prospect contact information into the company’s ; initiating sequences; assisting payroll and invoicing operations and other duties as assigned.
QUALIFICATIONS:
· Associate or bachelor’s degree preferred.
· 1-2 years of administrative experience, preferably in a staffing or HR environment.
· Strong organizational and time management skills with attention to detail.
· Strong technological knowledge with the ability to quickly adapt to new technologies.
· Excellent written and verbal communication skills.
· Proficiency in Microsoft Office Suite and Teams solutions.
· Ability to handle confidential information with discretion.
· Customer service-oriented mindset and ability to work in a fast-paced environment.
· Demonstrated ability to work independently and collaboratively within a team.
· Undeniable work ethic and desire to succeed.

· Collaborate with recruiters to ensure candidate readiness for client assignments.
· Maintain internal databases with up-to-date placement and availability information.
· Review candidate information as an audit on needed information input
· Support payroll by collecting and verifying timesheets from placed staff.
· Coordinate daily staffing schedules and ensure timely placement of candidates.
· Assist with onboarding documentation tracking for temporary staff.
· Communicate with clients to confirm staffing needs and resolve service issues.
· Input new and updated customer contact information into Software.
· Maintain confidentiality and professionalism in all interactions and documentation.
· Demonstrate proficiency in Microsoft Office, e-signature tools, applicant tracking systems, and virtual meeting platforms (e.g., Zoom, Teams).
· Maintain a flexible work schedule to adjust to the seasonality of the business.
· Perform other duties as assigned.
