POSITION SUMMARY The Administrative Assistant provides critical support to Medivant’s leadership and operations teams by managing communications, coordinating schedules, maintaining records, and ensuring smooth day-to-day administrative operations. This role requires strong organizational skills, attention to detail, and the ability to handle confidential information with professionalism. KEY RESPONSIBILITIES * Provide administrative and clerical support to department managers and executives. * Manage calendars, schedule meetings, and coordinate travel arrangements. * Prepare correspondence, reports, and internal documentation. * Maintain organized electronic and paper filing systems. * Assist with purchasing, vendor communications, and invoice processing. * Support onboarding and HR administrative tasks as needed. * Handle incoming calls, emails, and mail distribution. * Track and order office supplies and coordinate facility maintenance requests. * Assist in preparing presentations, reports, and meeting minutes. * Uphold confidentiality and data integrity at all times. QUALIFICATIONS * Associate degree in Business Administration or related field, or equivalent work experience. * 2+ years of experience in administrative, office management, or executive support roles. * Strong proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint). * Excellent written and verbal communication skills. * Ability to multitask, prioritize, and meet deadlines in a fast-paced environment. * Strong organizational skills and attention to detail. Preferred: * Experience working in a manufacturing, pharmaceutical, or healthcare environment. * Familiarity with ERP or document control systems (e.g., NetSuite, SAP). * Notary certification or HR administrative experience a plus.
