Compensation: $20-25 per hour.

JOB SUMMARY:

The Administrative Assistant at The Machining Center (TMC) plays a critical role in supporting the smooth and efficient operation of daily business activities. This position requires a detail-oriented and organized professional capable of multitasking, prioritizing tasks, and maintaining a high standard of work.

QUALIFICATIONS:

  • Proven experience in an administrative or similar role.
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency with Microsoft Office Suite (Word, Access, Excel, Outlook) and familiarity with other relevant software.
  • Ability to work independently and as part of a team.
  • Attention to detail and commitment to accuracy.
  • Familiarity with ISO systems is a plus.

PREFERRED SKILLS AND ATTRIBUTES:

  • Experience in a manufacturing or machining environment.
  • Knowledge of work order processing and inventory control systems.
  • Ability to adapt to a dynamic and fast-paced environment.
Responsibilities
  • Maintain a well-organized workspace and keep all paperwork in order.
  • Complete tasks efficiently and with a high degree of organization.
  • Understand and operate within TMC’s ISO system.
  • Greeting visitors and managing reception area.
  • Answering phones and directing inquiries.
  • Assist with work order processing, including creation, material handling, subcontracting, and finishing.
  • Material and specific hardware ordering.
  • Enter time sheet data accurately and promptly.
  • Assist with preparation and packaging of completed items.
  • Provide support for shipping and receiving operations, including working with Brokers to import and export machined and fabricated assemblies.
  • Organize and schedule training sessions.
  • Oversee inventory stock control and manage controlled materials.
  • Format CMM reports and certificates of conformance.
  • Draft and file Non-Conformance Reports.
  • File Work Orders and Quotes systematically (physical and digital).
  • Support administration with scheduling tasks, including updating scheduling sheets and preparing documents for scheduling meetings.
  • Process Purchase Orders (POs) and manage customer portals.
