Description

Hours are to be scheduled by the Property Manager, depending upon the season. Must be available to work weekends and holidays. 9 a.m. (EDT) to 5p.m. (EDT). Monday through Friday.

JOB SUMMARY

Perform various marina operations under the guidance of Property Manager, clerical, customer service, and other administrative duties as required while maintaining professionalism and confidentiality. Responsibilities will vary depending on the season and day-to-day activities.

TRAINING, EDUCATION, & EXPERIENCE

  • Minimum of one (1) years’ experience working in the field of Administrative Support or comparable fields.
  • Advanced in Microsoft Office Products
  • Strong technological skills including computer, tablet, audiovisual control systems, multipurpose printer/copier/fax machine, etc.

Responsibilities

BASIC JOB PURPOSE

This team member will execute high-level administrative support for management. Ensure delivery of high-quality, consistent service. Maintain complete confidentiality.

ESSENTIAL FUNCTIONS

  • Implement the Moorings Promise, Mission, and Vision and exhibit the Moorings values including truthfulness, integrity, and teamwork. Communicate and live The Moorings’ core purpose, values, and organizational culture daily.
  • To provide administrative support to the Property Manager. Responsible for running front office counter.
  • Follow through with renter/owner letters regarding association violations.
  • Check phone and voice mail messages daily taking detailed messages, including, name(s), time of call, and phone numbers.
  • Responsible for drafting and processing rental contracts for seasonal slip rentals; maintaining a detailed checklist, following up on process & payments sending invoices and letters when necessary.
  • Receive seasonal rental payments, forward the checks to slip owners; maintain detailed files, checklists, and reports.
  • Contact seasonal renter regarding late rental payments
  • Responsible for coordinating ice sales, and office supplies.
  • Process payables: Open mail, stamp each invoice with payable, and date stamp forward to PM for processing. In absence of PM; Enter payables, complete blanks on the invoice (vendor, amount, account code), print out a detailed payable summary, copy all invoices, and forward the originals to the proper company.
  • Responsible for writing and maintaining work orders.
  • Assists in the preparation of Board of Directors, and annual meetings.
  • Prepares general correspondence.
  • Assists with newsletters, and bulk mailing.
  • Assists in maintaining and updating the Key Card system including issuance/collection of fees, disbursing additional cards.
  • Responsible for Clubhouse reservations, deposits, and coordinating cleaning.
  • Responsible for maintaining boater insurance certificates and collecting when expired.
  • Maintain general office filing system.
  • Responsible for all filing within the office.
  • Answer phone and check answering machine messages; write down detailed messages; and assist whenever possible.
  • Responsible for the appearance of the office.
  • Any other duties as assigned by the Marina Management.
