Together We Grow – One Mission, One Team – With a Commitment to Serve ---------------------------------------- Scope of Work: The Administrative Assistant provides administrative and clerical support to the Program Office. This role supports daily office operations, assists with documentation and scheduling, and coordinates to ensure efficient program operations and responsive user support. Responsibilities: * Provide day-to-day administrative support to the Program Office, including correspondence, document preparation, filing, and records management. * Prepare reports, spreadsheets, presentations, and other program documentation using standard office software. * Maintain calendars, schedule meetings, coordinate conference calls, and prepare meeting materials and minutes as required. * Receive, review, and route incoming communications (email, phone calls, mail) and respond to routine inquiries. * Maintain office supplies, track inventories, and coordinate procurement requests in accordance with company procedures. * Support onboarding and offboarding administrative activities for program personnel, including coordination of access, equipment requests, and required documentation. * Ensure administrative processes comply with contract requirements, company policies, and applicable government regulations. * Develop presentation materials, briefing documents, and charts as needed. * Adhere to company policies, procedures, and safety regulations. * Perform other duties as assigned. Minimum Requirements: * Minimum of three (3) years of administrative support experience, preferably in a government or program office environment. * Strong organizational skills with the ability to multitask and prioritize work effectively. * Customer service skills for interfacing with internal teams and external clients. * Must be able to read, write, speak, and understand fluent English. * Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with work order systems such as Maximo preferred. * Must be able to satisfactorily complete a Tier 1 (Public Trust) background check, if required for the position. * Must be able to maintain ability to access government worksite. * Must possess and maintain a valid state driver’s license and a safe driving record, in accordance with company policy, to operate vehicles or equipment as required for the position. Physical Demands / Work Environment: * Ability to sit or stand for extended periods while working at a computer or desk. * Frequent use of hands for typing, data entry, and handling paperwork. * Physical requirements may include (but are not limited to) the ability to lift up to 25 pounds, pushing, pulling, carrying, stooping, bending, squatting, and reaching for long periods of time. * Must be able to work on-call, alternate, and extended shift schedules when necessary to meet the mission requirements, including weekends and holidays. ---------------------------------------- All candidates must successfully complete pre-employment screening, which may include but is not limited to a criminal background check, motor vehicle record review, and a 5-panel drug test, in accordance with company policy and applicable laws.
