The Administrative Assistant to Executive Leadership position is part of the Administration department and is a full-time role working 80 hours per two-week pay period. This position provides administrative support to the Chief Financial Officer, Chief Nursing Officer, and Chief Operating Officer by coordinating schedules, managing communications, preparing meeting materials, and maintaining records to support daily executive operations. The role serves as a key point of contact between executive leadership, hospital departments, and external partners while ensuring efficient office operations, confidentiality, and timely follow-through on organizational priorities. Standard working hours are Monday through Friday from 8:00 AM to 4:30 PM, with occasional evening or weekend hours as needed. Qualifications High School Diploma or GED required Associate’s degree in secretarial studies, office technology, business, or related field preferred. Previous administrative or executive support experience preferred. Advanced proficiency in Microsoft Office applications. Excellent written, verbal, and interpersonal communication skills. Strong organizational, prioritization, and multitasking abilities. Ability to work independently and manage multiple deadlines. Professionalism, discretion, and ability to maintain confidentiality. Strong customer service skills and ability to work collaboratively with others. Notary Public certification or ability to obtain certification preferred. Key Responsibilities Manage complex calendars and coordinate scheduling for executive leadership. Prepare agendas, meeting materials, and supporting documentation for leadership meetings. Record meeting minutes and track follow-up items to support accountability. Draft and edit executive communications and correspondence. Maintain organized digital and physical records for operational and regulatory needs. Serve as a liaison between executive leadership, staff, and external contacts. Support administrative and financial processes, including invoice-related activities. Coordinate office logistics, incoming inquiries, and departmental communications. Perform receptionist, secretarial, and other administrative duties as assigned.
