Description
Overview: Axis is seeking a capable Administrative Assistant to support the President and the Director of Technology. The ideal candidate will be a proactive, detail-oriented professional with strong organizational and communication skills, experience with construction-related processes, and proficiency in QuickBooks and AIA billing. This role requires a blend of executive support, project coordination, and general office administration, with the potential to handle social media tasks as needed. Key Responsibilities: * Provide high-level administrative support to the President and the Director of Technology Manage calendars, scheduling, travel arrangements, and meeting logistics Support construction-related activities, including preparation and processing of AIA billing, change orders, and project documentation Assist with permitting processes, coordinating with authorities, clients, and contractors as required Maintain accurate financial records in QuickBooks, including invoicing, vendor payments, reconciliations, and expense tracking Deliver outstanding customer service to internal and external stakeholders Perform general office duties (filing, data entry, correspondence, filing systems, document management) Prepare reports, presentations, and materials for meetings Coordinate and monitor status of projects, deadlines, and deliverables Assist with select social media posting and basic online presence maintenance (optional, based on candidate skill set) Support IT and operations as needed, acting as a liaison between departments Qualifications: * 3+ years of administrative support experience, preferably supporting executives Experience with construction projects, AIA billing processes, and project documentation Proficiency with QuickBooks (invoicing, bills, reconciliations) and basic accounting procedures Familiarity with permitting processes and regulatory compliance Strong computer skills; proficient in Microsoft Office (Word, Excel, PowerPoint, Teams) Excellent written and verbal communication, professional demeanor, and strong interpersonal skills Exceptional organizational abilities, time management, and attention to detail Ability to work independently, prioritize tasks, and handle confidential information Problem-solving mindset with a proactive approach Optional but desirable: social media posting/marketing familiarity and comfort with basic graphic/layout tools Education: * Associate degree or higher preferred; relevant experience may be considered in lieu of degree Work Environment: * On-site position in Fort Myers FL with occasional flexibility for hybrid arrangements based on business needs Compensation and Benefits: * Competitive salary commensurate with experience Benefits package (health, dental, vision) + retirement plan options PTO/vacation and paid holidays Opportunities for professional development and growth Equal Opportunity Employer: Axis is an equal opportunity employer.
