PROPERTY MANAGEMENT ASSISTANT

Benchmark Group of Companies is looking for an enthusiastic, quick learning, team player to join our team with a well established, Real Estate Development and Property Management company in Langley as our Property Management Assistant. This role will assist with the day-to-day operations of property management (primarily commercial) and will report directly to the Property Manager.
We are looking for the right fit for our small office team!
The successful candidate will:
1. Be a self starter who has a positive attitude and a willingness to learn
2. Possess an impeccable attention to detail
3. Prioritize workload and deadlines while completing multiple tasks throughout the day
4. Provide a professional front line experience for all in-person and phone communications
5. Challenge the way we do things and make suggestions for improvement

QUALIFICATIONS:

  • Valid drivers license and access to a vehicle
  • A minimum of 5 years in an office environment is required
  • Computer proficiency is a MUST with extensive knowledge of MS Office programs, with an emphasis on Microsoft Outlook, Excel, and Word
  • Property Management experience is an asset
  • Yardi software experience is an asset
  • Prior experience working with Basecamp is an asset, but not required
  • Self-directed, resourceful, motivated and results oriented
  • Multitasker and detail oriented
  • Independent and works well under minimal supervision
  • Friendly, outgoing personality that is clearly evident both in person and over the phone
  • Excellent organizational and prioritization skills
  • Excellent communication skills
  • Professional personal presentation
  • Fluent and proficient in English, spoken and written

Responsibilities

Property Management Assistance:

  • Respond to maintenance calls and emails
  • Communications with tenants and suppliers
  • Ensure tenant insurance requirements are up to date
  • Meter reads
  • Maintain the 3rd party parking system in an accurate and timely manner, including updating data in master spreadsheets
  • Handle building access management systems
  • Assist Property Manager with service contract management (landscaping, janitorial, parking lot cleaning, etc)
  • Prepare annual cleaning schedules and inspections for buildings
  • Set up services for new tenants and discontinue for moveouts (ex – Hydro/Fortis, janitorial services, etc)
  • Organize/schedule tenant appreciation events
  • Holiday coverage for the Property Manager and Receptionist

This role requires the successful candidate to have a valid drivers license with access to a vehicle, as site visits are required.
