We are looking for a highly organized and proactive Administrative Assistant to support the site Manager and site leadership team. This position supports multiple executives and provides broader administrative support for site-wide activities, including executive-level calendar management and hands-on assistance with various processes. The ideal candidate will thrive in a dynamic, fast-paced environment and demonstrate exceptional attention to detail and strong interpersonal skills. What will YOU do? Manage complex calendars for multiple managers, including scheduling meetings, prioritizing appointments, and resolving scheduling conflicts. Provide full administrative support for site visits, both local and international, including logistics coordination and on-site support. Assist with employee international business travel arrangements, including travel itineraries, expense reporting, and approvals. Support and coordinate cross-site operational processes, including data tracking, process monitoring, and internal compliance checks. Provide logistical and administrative support for large-scale meetings and events involving multiple stakeholders. Serve as a point of contact for internal and external inquiries, ensuring professional and timely responses. Collaborate closely with other departments to ensure smooth execution of site-wide activities. Your Skills & Abilities (Required Qualifications) Experience in a global company: familiarity with working across time zones and cultures. Fluent English: native-level proficiency in speaking, reading, and writing. Strong organizational skills and keen attention to detail. Excellent interpersonal and communication skills with a strong service-oriented mindset. Ability to coordinate across multiple interfaces and influence without authority. High level of proactivity, ownership, and a "can-do" attitude. Discretion and professionalism when handling sensitive information.
