We are seeking a dedicated Administrative Assistant to join our administrative team and support our finance department.

POSITION OVERVIEW:

The Accounting Assistant will be responsible for processing invoices, managing payment schedules, assisting with month-end reconciliations and front office receptionist functions. The ideal candidate will be detail-oriented, organized, and able to maintain accuracy in a fast-paced environment while upholding the high standards of Trackless Vehicles.

QUALIFICATIONS:

· Post-secondary education in accounting, finance, or related field, or equivalent experience.
· Experience in accounts receivable or customer service
· Strong attention to detail and accuracy.
· Excellent organizational and time-management skills.
· Proficient in Microsoft Office, particularly Excel and Outlook.
· Ability to work both independently and collaboratively in a team environment.

Responsibilities

· Prepare and issue accounts receivable invoices in accordance with company policies.
· Monitor customer accounts for overdue payments and follow up as required.
· Assist with bank reconciliations and month-end closing activities.
· Maintain accurate financial records and filing systems.
· Arrange travel and logistics for management and sales staff
· Coordinate supplies and logistics for meetings and events
· Answer telephone, greet visitors and receive routine inquiries in person and by phone, relaying calls and messages to appropriate personnel.

· Communicate professionally with vendors, customers, and internal staff regarding account matters.
