Job Description The Administrative Assistant plays a key role in supporting the operational efficiency and success of our organization. This position is ideal for an individual who thrives in a dynamic, fast-paced environment and enjoys managing a variety of tasks simultaneously. The Administrative Assistant will handle day-to-day administrative duties, support departmental needs, and ensure smooth communication across teams. This position requires a detail-oriented individual with strong organizational skills, excellent communication abilities, and a proactive mindset to contribute to the overall success of the business. Providing general administrative support to appropriate personelle, including managing schedules, handling correspondence, and preparing reports and presentations. Organizing and maintaining filing systems, both physical and digital, ensuring documents are easily accessible and up to date. Coordinating meetings, appointments, and events, ensuring all logistical details are handled efficiently. Assisting with the preparation of training materials, reports, and other documentation as required. Managing office supplies and ordering materials when necessary. Assisting in data entry and managing databases, ensuring accuracy and timeliness. Supporting the coordination of internal and external meetings, including booking venues, preparing agendas, and distributing meeting minutes. Ensuring all administrative procedures and company policies are followed. Assisting in travel arrangements, including booking flights, accommodation, and transportation. Performing other administrative duties and tasks as assigned by management. Qualifications Previous administrative experience, preferably in an office. Strong organizational skills with the ability to prioritize tasks and manage time effectively. Excellent written and verbal communication skills. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office equipment. Ability to work independently and as part of a team. Exceptional attention to detail with a proactive approach to problem-solving. Ability to handle confidential information with discretion. Strong interpersonal skills, with the ability to interact effectively with staff, students, and external stakeholders. Ability to adapt to changing priorities in a fast-paced environment. A positive attitude with a focus on delivering excellent customer service. Must be legally eligible to work in the United States without restrictions. Contingent to employment, all candidates must pass a drug screening and background check. TSA background check and badging is also required for your role.
