We are seeking a skilled and organized Admin Assistant to join our team and provide vital support to ensure smooth project operations.

QUALIFICATIONS:

  • Excellent communication skills, both written and verbal.
  • Prior experience in an administrative role, ideally within the remodeling or construction industry.
  • Knowledge of construction terminology
  • Strong organizational skills, with a keen attention to detail.
  • Proficiency in managing emails, calendars, and customer databases.
  • Experience with supplier coordination, material ordering, and delivery scheduling.
  • Familiarity with tracking project expenses, invoices, and managing change orders.
  • Ability to handle customer support calls and qualify leads over the phone.
  • Experience using CRM tools to manage and update lead/deal information.

Experience:

  • Administrative Assistant: 3 years (Preferred)
Responsibilities
  • Provide administrative support for construction and/or remodeling projects.
  • Manage data entry, customer databases, and organize files.
  • Perform internet research on materials, suppliers, and construction-related topics.
  • Handle email and calendar management.
  • Transcribe field notes and ensure accurate documentation.
  • Qualify potential leads over the phone and gather necessary information.
  • Schedule meetings with leads and update CRM with lead/deal information.
  • Offer customer support and handle phone calls as needed.
  • Coordinate supplier communication, manage material orders, and schedule deliveries.
  • Oversee change order requests and track related invoices.
  • Track project expenses and assist with purchase order invoicing.
  • Manage COIs and project warranties, ensuring proper documentation and follow-up.
