VMG is looking for a part time multi-skilled Administrative Assistant. The ideal candidate should be a courteous professional, detail oriented, able to perform various administrative duties, be customer-focused, and have an eagerness to work and contribute to team efforts with high energy and a positive attitude. Duties include but are not limited to:
Assist in handling day-to-day tasks and communication in a fast-paced environment.
Answer phone calls promptly and check voicemail regularly.
Stay on top of email regularly throughout the day.
Assist owners with questions regarding policies and procedures, directing them to the CAM where appropriate.
Assist owners with COA related issues and communicate to CAM when appropriate.
Meet with new owners to review Owner Packet, policies, and procedures.
Update Owner information in all applicable computer programs.
At the direction of the CAM, electronically filing all invoices for processing.
Invoicing property entities for digital signage and confirm payment.
Maintain unit entry key log and unit management company lists updated.
Maintain Homeowner packets up to date using Microsoft Word, Excel, Outlook, Constant Contact Dropbox, App Folio.
Maintain security binders up to date.
Maintain owner files.
Maintain owner portal & website.
Distribute pool bands and keep organized record keeping.
Maintain file and record retention system up to date.
Assist in and attend Board meetings following set procedures as needed.
Prepare for and attend Annual Owners Meeting and Reception following set procedures as needed.
Prepare meeting minutes for all Board of Director and Annual Meetings.
Order office supplies and keep organized.
Assist in preparing, proofing, and sending communications out to owners and others affiliated with the property.
Assist CAM with projects and meetings as requested.
Attend miscellaneous meetings when requested by CAM or Board of Directors.
Other duties as assigned.
Must be able to work on Monday through Friday with some weekend availability as needed.

EDUCATION:

High school or equivalent (Preferred)

EXPERIENCE/SKILLS:

General understanding of accounting (Preferred)
Microsoft Office: 2 years (Preferred)
Administrative: 1 year (Preferred)
