We’re looking for a highly organized, detail-driven, and proactive Marketing Administrative Assistant to keep our marketing operations running smoothly and efficiently. What You’ll Do: Keep Marketing Moving * Provide day-to-day administrative support to the marketing team * Manage schedules, organize files, and coordinate team meetings * Track project timelines and help keep cross-functional initiatives on schedule * Support sales team requests and assist with light content creation as needed * Jump in where needed—this role requires flexibility and a sense of urgency Own Our Marketing Materials * Manage promotional items and literature inventory to ensure accuracy and availability * Conduct weekly cycle counts and monthly inventory audits * Process and ship materials to support the sales team * Coordinate ordering and restocking of promotional items Support Memorable Events * Assist in planning and executing on-site and off-site events * Coordinate logistics and provide hands-on support during events * Help manage company tours, including scheduling and catering Drive Internal Communication * Compile and prepare weekly company updates * Proofread and edit presentations, reports, and internal communications * Serve as a key support contact during marketing campaigns Contribute to Business Growth * Support customer account setup and onboarding processes * Assist with communication and coordination across teams * Ensure documentation is accurate, complete, and submitted on time * Help analyze accounts and ensure smooth setup and execution   What You Bring: * High school diploma or equivalent required * Associate degree in Communications or a related field preferred * Experience in administrative support, marketing coordination, or event planning preferred * Project management experience is a plus * Strong proficiency in Microsoft Office (Word, Excel, PowerPoint) * Salesforce experience is a plus * Bilingual (English/Spanish) preferred (reading and writing) * Exceptional organization and multitasking abilities * Strong written and verbal communication skills * High attention to detail—especially when managing inventory and proofreading materials * Ability to lift and move boxes as needed * A positive, team-first mindset with a willingness to jump in and help What Makes You Successful in This Role * You stay organized even when things move quickly * You take initiative and solve problems before they escalate * You’re dependable and follow through on commitments * You’re adaptable and comfortable supporting a variety of projects Additional Details * Occasional evening or weekend availability may be required for events   Join a team where your work keeps everything—and everyone—moving forward.
