Our Gainesville Operations Center is seeking a detail-oriented and proactive Administrative Assistant to support our office operations.

REQUIREMENTS

  • Four-year college degree or equivalent professional experience
  • Excellent communication skills, including both verbal and in writing
  • Knowledge of office practices and excellent computer skills in Word, Excel, and PowerPoint
  • Highly motivated team player with ability to develop and maintain collaborative relationships with all levels within and external to the organization
  • Being good at organizational and time management, flexible with multi-tasking
  • Exceptional accountability, producing detailed, thorough, and accurate work
  • Experience in event planning or coordination

Responsibilities
  • Oversee daily office operations, ensuring a smooth and organized work environment
  • Serve as the first point of contact, welcoming guests and directing them appropriately
  • Keep track on office supplies, equipment, and maintain vendor relationships
  • Work with the Head of Office on the office supplies budget
  • Assist in organizing office events, meetings, and team-building activities.
  • Handle incoming and outgoing mail and packages
  • Coordinate interviews with candidates in collaboration with hiring managers
  • Organize and maintain the recruitment calendar, including interview and meeting logistics
  • Contribute to additional projects or responsibilities based on company needs and the individual’s skills and interests, providing opportunities for professional growth and exploration.
