  • Confidentiality: Must maintain the highest level of confidentiality because he/she deals with information of highly personal nature
  • Two (2) year degree with one (1) year experience or High School diploma with two (2) years’ experience related to position
  • Technical knowledge to operate phone systems, computers, copiers, spreadsheets, membership database systems, and digital communications such as website maintenance, social media accounts, etc.
  • Exhibit administrative abilities such as organization, excellence in written and oral communications, ability to accomplish work in a timely and efficient manner
  • Effective team collaborator - exhibit ability to work in coordination with other staff and church members to achieve common goals.

Responsibilities

· Answer phone, direct incoming calls to the appropriate person, take messages and provide proper information to callers
· Greet church visitors, providing a welcoming first point of contact; provide guests with appropriate information and relay any messages to the pastor, staff, and church officials
· Maintain church calendar and schedule of facilities using facility use guidelines provided by the Church Board of Trustees
· Collect materials for and prepare/assemble weekly bulletins (also includes special bulletins such as funerals, special services, etc.), weekly update emails, and monthly newsletters. This includes copying and distribution/mailing.
· Maintain a filing system for physical and electronic documents that ensures easy access/recovery of important documents/files (i.e., warranties, contracts, service agreements, etc.)
· Monitor inventory of office supplies; place orders for and ensure adequate supplies are available
· Order altar flowers and special occasion flowers
· Maintain church membership rolls and attendance data
· Maintain church member mailing and email lists with current addresses and phone numbers
· Use a phone tree technology to keep members informed of events, concerns, meetings, etc. as directed by the Senior Pastor or appropriate committee chairperson
· Coordinate with vendors and service providers as requested by Senior Pastor or appropriate committee chair for various needs, such as equipment maintenance, supply orders, etc.
· Ensure office equipment (printers, copiers, etc.) are functioning properly and place service calls when needed
· Handle incoming and outgoing mail and packages (pick up from post office/coordinate with other delivery agencies, sort, and distribute)
· Perform clerical tasks that relate to the church mission for other church staff, committee chairpersons, and volunteers of church-sponsored activities
· Update information on the church website and social media programs, such as Facebook/Instagram/YouTube, as requested by the Senior Pastor or appropriate committee chairperson
· Perform financial secretary duties as requested by the Finance Committee Chairperson
· Gather/maintain data/statistics for required reports (yearly Charge Conference and Year-End Reports) and assist the Senior Pastor with completion of forms and reports
· Maintain a neat and orderly office
· Perform other duties/tasks as requested by Senior Pastor or SPRC.
