Description Position Title: Administrative Associate Job Classification: Non-Exempt; Full Time Position Responsible to: Chief Operating Officer Job Summary: The Administrative Associate is a key member of the administration department working within a designated office. The primary responsibility for this position is to support the various departments throughout the company. Support would entail, but not be limited to, the coordination and execution of various tasks for the Accounting, Commercial Line, Personal Lines, Claims, and Benefits divisions. Work proficiently in a high-functioning multi-task environment. Secondary responsibilities would include answering and directing inbound phone calls on a multiline phone system. Assist management, company vendors, visitors, and guests. The Administrative Associate performs the essential functions of the position noted below, while meeting the quality and service standards developed by the agency. Supervisory Responsibilities: Not Applicable. Essential Functions: Improve our client experience by handling back-office processing support for our divisions and the Personal, Commercial, Claims, and Benefits departments. Assist accounting with client payments, create bank deposit documentation, and handle the office petty cash. Carry out administrative duties such as distribution of office mail and eFax documentation. Assist with data clean-up and entry in our systems of record. Handle sensitive information, statements, and invoices confidentially. Answer and transfer phone calls to the appropriate department/individual, screening when necessary. Ensure office equipment is operational; maintain the supply stock level and anticipate supply needs. Acts as a liaison with landlord or vendor to coordinate building repair and maintenance services. Maintain a concern for timeliness and completeness when interacting with customers, agencies, and company personnel to minimize potential for errors and omissions claims. Perform other duties and responsibilities as assigned. Core Competencies, Skills & Abilities: Ability to communicate orally and in writing, to receive and interpret complex information, and respond appropriately. Bilingual abilities are a plus. Ability to understand written and oral communication and interpret abstract information. Excellent interpersonal and customer service skills. Confident, self-starter who works well independently. Excellent organizational skills, attention to detail and time management skills with a proven ability to meet deadlines and multi-task. Proficient with Microsoft Office Suite or related software. Education and Experience: High school diploma or equivalent required. Physical Requirements: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Work is normally performed in a typical interior/office work environment. The employee is frequently required to remain in a stationary position, often standing or sitting for prolonged periods. While performing the duties of this job, the employee is regularly required to communicate, listen, and observe. Specifically, the employee must be able to communicate clearly on the telephone with others. This position frequently communicates with clients who have inquiries about their policy, invoicing, and claims. Must be able to exchange accurate information in these situations. Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer. This includes repeating motions that involve the wrists, hands, and/or fingers. Position may require the employee to ascend and/or descend ladders, stairs, ramps, and the like. High stress, fast-paced environment with a high volume of work to be completed daily. Limited physical effort required or exposure to physical risk.
