We are seeking a professional front office administrator to join our team and develop a career with our firm.

JOB SUMMARY

The Administrative Associate will be responsible for day-to-day administration and coordination for the front office. The position oversees client relations, intake, coordination and delivery of appraisal requests, invoicing, and accounts receivable.
Position: Permanent full-time. 8 hour work day with ½ hour lunch break
Wage: $24 per hour plus opportunity for profit sharing
Hours: Monday to Friday 8:30 am to 5:00 pm

SKILLS AND ABILITIES

· Ability to type at a reasonable pace and work in Word and Excel
· Ability to adapt to new software used in our field
· Knowledge of general office procedures and ability to operate related office equipment
· Ability to be flexible in a dynamic work environment
· Ability to analyze and solve problems
· Ability to communicate effectively both verbally and in writing
· Ability to plan, organize and prioritize
· Ability to deal with others in a professional manner using tact and good judgment.
· Experience with social media posting and content

EDUCATION AND EXPERIENCE

· Grade 12, graduation from an office administration certificate program an asset, previous office experience an asset.

  • Responding to phone calls, email inquiries, and ordering service interfaces
  • Taking in orders and coordinating requests
  • Directing inquiries to appropriate personnel in the office
  • Invoicing, collecting and processing payments, accounts receivable
  • Setting up form reports, entering comparable sales information, proofreading, emailing completed reports
  • Writing basic engagement contracts and letters
  • Inputting basic expense data for our property management division
  • Provide administrative support for efficient office operation
  • Other duties as required
