ABOUT THE FORESTRY PROGRAM Hispanic Access’ Forestry Program manages $4 million a year in passthrough grants and oversees programming designed to increase equitable access to trees and green spaces, and the many benefits they provide, particularly in disadvantaged communities. This program fosters new relationships and builds capacity in existing community collaboratives composed of faith-leaders, youth, and other local stakeholders across the country to apply culturally-relevant, nature-based solutions that address unmet economic, social and environmental challenges. POSITION DESCRIPTION The Administrative Associate is a full-time, remote position responsible for providing administrative, operational, and grant management support to ensure the effective implementation of the Forestry Program. This position plays a vital role in maintaining organized systems, coordinating departmental activities, and supporting compliance and reporting requirements. ROLE/RESPONSIBILITIES Grant Management Support: Assist in preparing, tracking, and executing subcontract and subaward agreements, award letters, and related documentation. Maintain accurate and organized grant files, records, and documentation. Monitor the grant records for the department and ensure compliance with grant requirements. Support the development and implementation of internal policies and procedures related to grants management. Meeting and Event Coordination: Coordinate meetings, site visits, and other events related to grant activities and departmental operations. Monitor the department email inbox and inquiries, ensuring timely responses or appropriate routing. Take detailed meeting notes -and assist in preparing correspondence and materials for funders, partners, and subrecipients. Research and Reporting: Conduct background research on best practices, funding opportunities, and relevant program topics. Prepare and distribute reports, presentations, and materials for both internal and external audiences. Financial and Administrative Support: Support budget tracking and financial reporting. Work with the Finance Manager to resolve any invoicing issues related to subawards. Provide general administrative assistance to ensure smooth program operations. QUALIFICATIONS Bachelor's degree in administration, forestry, environmental studies, or related field, or equivalent work experience. 2+ years of experience providing administrative or operational support, preferably in a nonprofit or grant-funded setting. Knowledge of contract administration, federal grants, and compliance requirements preferred. Strong organizational skills with meticulous attention to detail. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite and familiarity with database management systems. Experience with Salesforce is a plus. Ability to work independently and collaboratively in a fast-paced environment. Interest in environmental conservation and forestry initiatives preferred. Bilingual (Spanish/English) verbal and written fluency strongly preferred. LOCATION This is a fully remote position. COMPENSATION AND BENEFITS The salary range for this position is $55,00-$65,000 annually depending on qualifications and experience.
