Temple Emanuel Winston-Salem (N.C.) seeks an Administrative and Bookkeeping Assistant to join its office team. This is a part-time position at 25 hours per week, Monday-Friday, with flexible scheduling available. The Administrative and Bookkeeping Assistant reports to and works closely with the Executive Director and assists the work of the Rabbi, Engagement & Programming Director, Religious School Director, Preschool Director, and Music Director. Temple Emanuel is a medium-size synagogue affiliated with the Union for Reform Judaism and has a current membership of 300 households. We welcome applicants interested in working for a non-profit organization. No personal affiliation with Judaism is required or expected, but a willingness to gain a basic understanding of Jewish traditions, practices, and holidays will be helpful for job effectiveness over time.
The Temple Emanuel Administrative & Bookkeeping Assistant provides general administrative support to the Executive Director and the temple office team. A successful candidate will demonstrate strong organizational skills, strong basic math skills, attention to detail, excellent communication abilities, proficiency in Microsoft Office Suite, and experience with online financial and database management systems.
In a typical week, the work of this position will be roughly divided between general clerical responsibilities and bookkeeping tasks.
Administrative assistance (approx.10-15 hours/week): The Administrative and Bookkeeping Assistant will regularly assist the Executive Director in the general running of the temple office through the ordering of supplies; assisting with vendor contacts and scheduling; organizing and maintaining of office files (both electronic and hard copy); making copies; preparing documents and correspondence, including three mass mailings each year to all temple members; responding to emails and phone calls; and answering phone calls and greeting in-person visitors to the temple when the part-time Office Assistant & Receptionist is unavailable. The Administrative & Bookkeeping Assistant will also provide occasional administrative assistance to the Rabbi and the temple directors as needed.
Bookkeeping assistance (approx. 10-15 hours/week): Using established financial processes and online platforms, the Administrative and Bookkeeping Assistant will work closely with the Executive Director and with the temple’s remote Bookkeeping Service to report or directly input most of the temple’s accounts payable and accounts receivable transactions. Regular weekly finance-related responsibilities will include the submission of invoices for payment though an online accounts payable portal, including payments owed to independent contractors; maintaining all temple credit card records and receipts; coding monthly credit card statements for accurate expense booking; processing checks for deposit; making periodic in-person bank deposits and reporting all bank deposits to the temple’s Bookkeeping Service through its online portal; managing and updating all member and non-member accounts in the temple’s online database, including preschool family accounts and billing; assisting members and non-members with account access and online payments; preparing and sending account invoices; maintaining all in-house financial records; and other financial processes as required. This position is not responsible for maintaining the temple’s ledger, for preparing any financial reports, or for submitting payroll; however, the Administrative and Bookkeeping Assistant should have a basic familiarity with financial reporting to assist with reconciliations and the reporting of any errors to the temple’s Bookkeeping Service as needed.

BASIC REQUIREMENTS AND QUALIFICATIONS

  • Minimum formal education: High school diploma or GED certificate; some college preferred;
  • 3+ years of experience as an administrative assistant or bookkeeper preferred, and experience working for a non-profit organization is a plus;
  • Proficient and accurate typing and editing abilities. The successful candidate will be a conscientious proofreader of their own and of others’ writing;
  • Proficiency with Microsoft Office Suite and common office equipment;
  • Excellent customer service skills, communication skills, basic math skills, attention to detail, and tolerance for interruptions;
  • Self-starter who works well independently, prioritizes organization in completing a variety of tasks during each workday, and carries out projects efficiently and effectively even when balancing multiple tasks;
  • Professional demeanor;
  • Respect for strict confidentiality in all financial matters.
    Starting rate of pay is $19-21/hour, commensurate with experience and formal education. There is no benefits package with this position, but flexibility in weekly scheduling is available.
