Summary of Position/Objective: Administrative Clerks provide clerical, organizational, and coordination support for all departments.   This position will represent To The Rescue in a positive and professional manner and handle interactions with others tactfully. The person in this position will be detail-oriented, exercise good judgment and confidentiality, and be able to understand and follow written and oral instructions. This position will be primarily scanning paper records to produce digital copies for retention by the CO Office. This position is responsible for official, confidential document retention and requires attention to detail with the ability to perform repetitive tasks throughout the entirety of their shift. This position performs a variety of work in support of administrative, professional, and technical staff activities; works in partnership with other employees, departments, external entities, and the public in delivering professional services.  The position is scheduled for 20 hours a week during the office hours of 10:00 a.m. to 4:00 p.m., Monday through Friday or per business needs. Essential Duties and Responsibilities: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. The duties include, but are not limited to, the following: * Provide Administrative Support, Records and File Management Support, and Office Support * Assist with meeting, presentation, and training preparation. * Compile information, manuals, training materials, and departmental documentation in a concise, accurate, and timely manner. * Prepare reports, spreadsheets, and other documentation as needed. * Handle and organize multiple tasks and projects simultaneously. * File documents in employee, customer, and vendor files. * Create and maintain files and binders. * Set up and maintain member files within the EHR system (Therap). * Set up and maintain member, employee, and vendor files within Google. * Scan a wide variety of records with accuracy and thoroughness, uploading to the correct location. * Name files consistently following established guidelines. * Collect information and documents from potential and current customers. * Monitor supply levels and submit order requests. * Ensure the front desk area is tidy and presentable at all times. * Clean conference rooms and common areas, including vacuuming and emptying trash. * Assist with marketing efforts and participate in networking opportunities. * Expresses ideas clearly, both verbally and in writing. * Maintains an orderly work area. * Performs other related duties as assigned. Competencies/Qualifications/Education: * Ability to apply principles of logical or scientific thinking to a wide range of intellectual and practical problems. * Willingness to take direction.   * Communication Proficiency.  * Teamwork Orientation. * Clerical skills and familiarity with office machines and computers. * Working knowledge of Google applications that includes Docs, Sheets, GMail and the ability to learn computer programs for scheduling, timekeeping, and Health Records. Ability to learn and operate a variety of computer programs and databases. * Collaboration Skills. * Flexibility * Thoroughness * Organization skills and dedication to completing projects in a timely manner * Ability to handle sensitive information with a high level of confidentiality and discretion Certificates/Licenses/Registration: The employee shall possess a valid driver’s license and must be eligible for the agency’s vehicle insurance and provide proof of private vehicle coverage.  Supervisory Responsibility: This role will not directly supervise employees. Work Hours: Hours are varied depending on the needs of the organization. This may include, but is not limited to days, nights, weekends, and holidays. This position is a part-time position, approximately 20 hours per week, though some weeks may be less or more depending on business needs.  Work Environment: The work environment is consistent with similar office environment settings.
