The individual in this position will provide administrative support to the department of Public Works. Essential duties include:

  • Greets visitors; provides information and assistance; takes messages; answers telephone and email correspondence; refers to appropriate personnel; generally, the first point of contact.
  • Receives customer complaints and inquiries; resolves or forwards to appropriate personnel.
  • Prepares correspondence, memoranda, forms, invoices, expense reports, purchase or work orders, reports and check requests, agenda items, and other documents as needed.
  • Organizes and files all departmental correspondence, financial documents, and other departmental significant forms.
  • Orders office and operating supplies and maintains inventory for the department.
  • Ensures copier, fax and other related office equipment are in working order and fully stocked each day.
  • Receives or retrieves, sorts and distributes incoming and outgoing mail and shipments.
  • Provides information and assistance to field personnel as needed.
  • Processes right of way permits.
  • Prepares PO?s, logs PO?s in master spreadsheet, and files requests.
  • Reviews weekly golf and cemetery deposits for accuracy.
  • Maintains all credit card statements.
  • Processes all travel reservations and registrations, and completes all travel requests and expense forms.
  • Assists new vendors in getting set up in vendor registry.
  • Orders supplies and uniforms as needed.
  • Assists with Public Works related events and projects
  • Maintains and destroys documents according to appropriate records retention schedules; maintains log of destroyed documents
  • Assists with open records
  • Other related duties as assigned.
