OVERVIEW

We are seeking a highly organized and proactive Administrative Coordinator to support our operations in Oregon and Southern Washington. This role is responsible for managing the daily scheduling of field technicians, ensuring optimal resource allocation and timely service delivery. The ideal candidate will provide essential administrative support to the Project Management team, assist in tracking inbound project equipment, and serve as a key communication link between internal teams, technicians, and customers.
This position requires strong attention to detail, excellent communication skills, and the ability to thrive in a fast-paced, collaborative environment. The successful candidate will be responsible for maintaining accurate data across ERP systems, managing schedule changes, confirming appointments, and supporting the coordination of multiple projects.

EDUCATION & EXPERIENCE

High school diploma or general education degree (GED); or three years or more related experience and/or training; in customer service, office duties/management. Must be able to type a minimum of 50 words per minute, experience with Microsoft Outlook, Word, Excel, and Teams. Preferred to have experience with NetSuite ERP system.

Responsibilities

ESSENTIAL DUTIES

  • Schedule all work for Oregon and Southern Washington technicians according to availability
  • Provide administrative support to the Project Management team
  • Assist with the tracking of inbound project equipment.

JOB DUTIES

  • Complete documentation within ERP and other systems.
  • Serve as a primary point of contact for schedule changes, technician availability, and service request updates.
  • Maintain and update internal systems and databases with accurate technician and project information.
  • Communicate with internal teams and customers to relay scheduling updates, confirm appointments, and assist with project coordination
  • Maintains punctual, regular, and predictable attendance.
  • Works collaboratively in a team environment with a spirit of cooperation.
  • Respectfully takes direction from manager.
  • Other duties as assigned.

SUPERVISORY RESPONSIBILITIES

This position does not have any supervisory responsibilities, to the extent of discipline.
