OVERVIEW

We are seeking a detail-oriented Administrative Coordinator to join our team. This is an in-office position based in Mississauga, ON. This role is critical to ensuring all permits and utility locates for our construction and maintenance projects are requested, received, and managed efficiently to keep projects on schedule.

QUALIFICATIONS

  • Proficiency with Google Maps, Google Earth, Excel, and Outlook.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills for effective collaboration with team members and clients.
  • Ability to multitask and manage multiple projects with varying deadlines.
  • Preferred: Experience with utility locates, the Ontario One Call portal, and interpreting construction drawings.
  • Strong attention to detail and problem-solving skills.
    Ability to work independently as well as part of a team

Responsibilities

  • Submit construction dig area requests through the Ontario One Call portal and generate locate requests.
  • Track and manage all locates, ensuring accuracy of received information and monitoring expiry dates.
  • Call in gas clearances, schedule site meetings, and follow up as needed.
  • Communicate daily through phone and email with internal team members, external locating company dispatchers, supervisors, locators, and utility contacts to coordinate locate activities.
  • Read and interpret construction drawings to confirm accurate locate coverage.
  • Maintain accurate records of utility locations and provide detailed reports to project managers.
  • Respond promptly to requests for utility location services, ensuring timely completion of tasks.
  • Monitor work queues for scheduling, completion, and invoicing of assignments.
  • Perform general office administrative tasks as required.
