Description Boater’s World Marine Centers in Islamorada, FL is seeking a reliable and detail-oriented Administrative Coordinator to support daily dealership operations at our BWI location. This role focuses primarily on sales paperwork organization, documentation accuracy, CRM updates, and general administrative support for the Sales Team and General Manager. The ideal candidate is organized, comfortable working in dealership systems, and able to keep multiple deals and tasks moving at once. This is a structured, process-focused position that plays an important role in keeping the sales operation organized and compliant. Key Responsibilities Sales Paperwork & Deal Support Prepare and organize sales paperwork for accuracy and completeness Input deal information into Lightspeed (DMS) Maintain deal checklists and ensure required documents are signed and filed Scan and upload documentation into proper digital systems Coordinate internally to ensure deals move efficiently toward delivery Assist with tracking deal status and updating management as needed CRM & System Updates Maintain accurate customer records in the CRM Update lead activity and assist with follow-up tracking Ensure proper data entry and system organization Pull basic reports from Lightspeed when requested General Administrative Support Provide day-to-day administrative support to the General Manager Maintain organized filing systems (digital and physical) Assist with scheduling and internal coordination Support showroom organization and professionalism Assist with dealership events when needed Requirements Previous administrative or dealership experience preferred Comfortable working in dealership software systems (Lightspeed experience a plus) Strong attention to detail and organizational skills Ability to manage multiple tasks in a fast-paced environment Professional communication skills Reliable and dependable work ethic Saturday availability required
Responsibilities
This role primarily involves supporting daily dealership operations by focusing on the accurate preparation and organization of sales paperwork, inputting deal information into the DMS (Lightspeed), and maintaining digital documentation compliance. The coordinator will also maintain accurate customer records within the CRM and provide general administrative support to the Sales Team and General Manager.
