Description This position is responsible for providing administrative and operational support to ensure efficient office operations. Coordinates supply management, maintains communication channels, supports data management functions, and performs general office duties to support clinical and administrative staff. Essential Job Functions: • Orders, tracks, and maintains office and clinical supplies to ensure adequate inventory levels. • Preforming off-site duties, including travel between locations and completion of operational tasks. • Distributes supplies to designated departments and locations as needed. • Performs accurate and timely data entry into designated systems. • Answers and directs incoming telephone calls in a professional and courteous manner. • Maintains and monitors the PR phone line and shared email account, responding or routing inquiries appropriately. • Coordinates vendor arrangements for meetings and staff functions, including catering and delivery logistics. • Archives, files, and maintains records in accordance with EIC policies and retention guidelines. • Assists with Safety Committee reports, meetings and tracking. • Assists with document preparation, scanning, copying, and distribution. • Supports interdepartmental communication and coordination. • Maintains organized and efficient office workspaces and storage areas. • Assists leadership with special projects and administrative initiatives as assigned. • Ensures confidentiality of sensitive information. • Performs all other duties as assigned and appropriate. Requirements • High school diploma or equivalent. • Minimum of 2 years administrative experience. • Must maintain a valid California driver’s license and active automobile insurance coverage. Knowledge / Skills / Abilities: • Strong organizational and time management skills. • Ability to multi-task and prioritize in a fast-paced environment. • Excellent verbal and written communication skills. • Proficient in Microsoft Office applications and electronic systems. • Strong attention to detail and accuracy. • Ability to maintain confidentiality and professionalism. • Customer service oriented with strong interpersonal skills. • Ability to work independently and as part of a team.
