Only candidates with working experience in Architecture, Engineering, or Construction (A.E.C) industries will be considered Location: Downtown Dallas (on site) We are seeking a detail-oriented and proactive administrative assistant to manage, coordinate, and maintain architectural specifications across multiple projects. The successful candidate will play a key role in ensuring accuracy, consistency, and compliance of project documentation while working closely with internal teams and external stakeholders. Training will be provided. Responsibilities Supporting the specifications team to prepare, coordinate, and maintain project specifications in alignment with design, engineering, and regulatory requirements Setting up and attending project kick-off meetings Collaborate with engineers, architects, project managers, and consultants to ensure specifications are accurate, complete, and up to date Manage specification revisions, version control, and document distribution throughout the project lifecycle Ensure compliance with applicable standards, codes, and industry regulations Support and manage QA reports Maintain specification templates, libraries, data sheets, and best practices Assist in resolving technical queries related to specifications during design and execution phases Qualifications High school diploma / Associates degree 3+ years of administrative support experience, ideally in the architecture, engineering, or construction industries Microsoft Office Proficiency
