NORMAL WORK HOURS: 40 hours per week, Monday-Friday
IMMEDIATE SUPERVISOR: Program Manager
OTHERS WHO MAY ASSIGN WORK: Co-Chairs for Faculty Affairs

POSITION SUMMARY:

The Administrative Coordinator for External Programs & Partnerships plays a vital role in supporting Olin’s global-facing academic initiatives. Reporting to the Program Manager, this position provides high-level administrative and logistical support to external academic partnerships and programs, including Olin’s collaboration with the Kyiv School of Economics and academic events such as Summer Studio. The position involves frequent interaction with faculty, staff, students, and international academic visitors, and requires strong organizational, communication, and coordination skills.
This full-time temporary position, projected to end on August 31, 2026, supports Olin’s mission to co-develop transformative educational experiences with collaborators around the world. Note that the position has the potential to be extended.
This is an in-person/on-campus position based in Needham, MA.

EXPERIENCE AND QUALIFICATIONS:

  • Bachelor’s degree or equivalent professional experience
  • 3–5 years of experience in an administrative support role, preferably in an academic or non-profit setting
  • Experience coordinating events and managing logistics for meetings, programs, or external visitors
  • Experience working with international stakeholders or partners
  • Strong organizational, interpersonal, and time management skills
  • Excellent written and verbal communication
  • Proficiency with Microsoft Office and spreadsheet/database tools
  • Ability to manage multiple priorities, meet deadlines, and adapt to evolving needs
  • Discretion and professionalism in handling sensitive or confidential information
  • Demonstrated understanding of and commitment to the values of equity, access, and belonging
  • Interest in international education or higher education partnerships is a plus
