Ontario Health Teams (OHTs) are an approach for delivering more connected and improved access to health and wellness care for individuals. As one of many OHTs across the province, the Hastings Prince Edward Ontario Health Team (HPE OHT) is a partnership of health and social service providers from the communities of Hastings and Prince Edward Counties and the Tyendinaga Mohawk Territory, working in the shared purpose of Caring for Our Communities Together, Partnering for better health and wellness within and across our communities.
Gateway Community Health Centre (Gateway CHC) is the transfer payment agency and employer of record for the HPE OHT Backbone Team. The Administrative Coordinator is a member of the HPE OHT Backbone Team and reports to the Strategic Implementation Lead.
We are looking for an Administrative Coordinator to support the overall operational and administrative functions within the HPE OHT. In this role you’ll work closely with the HPE OHT staff and all stakeholders to support the success of our OHT.

Responsibilities
  1. Administrative and logistical coordination - to support monthly HPE OHT Stewardship meetings, Primary Care Council meetings and Operational Table meetings, including but not limited to:
    · Schedule recurring virtual meeting series and agenda prep meetings for fiscal year using Zoom, MS Teams and Outlook
    · Prepare draft agendas for Co-Leads’ considerations
    · Source/compile monthly meeting agenda items
    · Review, finalize, upload and advise members of availability of meeting packages
    · Attend and provide technical support to virtual meetings, including recording meeting minutes
    · Advise members of action items emanating from monthly meetings
    · Schedule (and possibly attend) meetings emanating from Stewardship, Primary Care Council or Operational Table meetings.
  2. Support HPE OHT operational functions -including but not limited to:
    · Liaise with internal and external stakeholders to smoothly operationalize HPE OHT
    · Coordinate resources to optimize operational efficiencies
    · Coordinate responses to stakeholder comments and concerns
    · Participate in HPE OHT Backbone Team meetings including periodic full-day in-person sessions
    · Maintain and update HPE OHT documents and informational resources

· Invoicing including quarterly remuneration for Primary Care Council members and Patient, Client and Partner Council members

  • Maintain the HPE OHT Collaborative member database and distribution lists
  • Prepare reports, spreadsheets, letters, presentations, visualizations and documents
  • Provide scheduling support for Backbone Team members
  • Assist with contact management
  1. Provide event management support for HPE OHT engagements including contract management, venue site inspections, physical set-up, information technology and audio-visual requirements and catering.
