WHAT YOU NEED TO KNOW

REQUIRED EDUCATION AND EXPERIENCE:

  • Two years of office administration or related experience
  • Bachelor’s degree or equivalent combination of education and experience

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge of word processing, spreadsheet, database, and presentation applications
  • Interpersonal and communication skills
  • Planning and organization skills
Responsibilities
  • Administrative Office Support: Provide administrative support to research labs, including technical information and policy formulation . Manage office and lab supplies, procurement, and confidential records. Assist with HR tasks, including hiring and transitions for research personnel. Arrange travel for lab members, handle reimbursements, and liaise with IT and Marketing for website updates. Compose and prepare non-academic documentation and correspondence. Perform word processing, desktop publishing, and data management activities. Coordinate travel arrangements and itineraries, and process travel and leave requests.
  • Administrative Support to Research Faculty: Assist with research grant proposals, post-award management, and budget activities. Prepare non-technical aspects of progress reports and grant applications. Maintain databases for administrative files and records. Handle pre- and post-publication tasks and coordinate with research collaborators. Manage business matters for research labs, including procurement, invoice approval, budgeting, and employment offers. Coordinate travel arrangements and handle reimbursements for research personnel. Maintain and update group websites with IT.
  • Academic Support: Interact with undergraduates and graduate students in courses taught by supervisors. Schedule student appointments, keep records of grades, and assist with class materials and exams.
