Description This position will play a key role as a local point of contact in the US, providing administrative, operational, and logistical support both to our company and to the local distributor. The selected candidate will be responsible for ensuring the smooth operation of the back office, improving operational processes, managing product samples, supporting commercial events, helping to build trust and presence in the US market, and serving as a customer contact. Position Objectives Act as the company’s local presence in the US, providing a professional and reliable point of contact. Improve operational follow-up of orders, samples, and administrative tasks. Optimize the management of product samples, including receiving, storage, shipping, and tracking. Support local sales and marketing activities (Lunch & Learn events, presentations, etc.). Serve as a liaison between the company, distributors, and local clients and professionals. Key Responsibilities Administrative Management & Back Office Answer and manage incoming phone calls, routing them appropriately. Manage email correspondence and general communications. Provide general administrative support. Organize and maintain documentation and records. Coordinate with the company’s headquarters in Spain. Provide administrative support to the sales team and the local distributor. Operational Follow-Up Track orders, shipments, and deliveries. Coordinate and resolve operational issues with clients, distributors, and suppliers. Monitor timelines and address logistical challenges. Support invoice tracking and operational documentation, when applicable. Product Sample Management Receive, organize, and manage product sample inventory in the US. Ship samples to clients, architecture firms, and specifiers. Track domestic and international shipments. Coordinate with carriers and courier services. Identify issues and propose solutions to minimize delays and costs. Event & Commercial Support Organize Lunch & Learn events: Logistical coordination. Catering orders and management of dietary restrictions (allergies, intolerances, vegan options, etc.). Support the management of professional credits for architects or other specifiers (CEUs or similar). Coordinate with architecture firms and industry professionals. Provide general support for commercial events and presentations. Communication & Representation Act as a professional representative of the company in the US. Maintain fluent communication in both English and Spanish. Interact with clients, architects, designers, and partners. Serve as a link between the US and the headquarters team. Requirements Degree or training in Administration, Business Management, Office Management, or similar (preferred). Experience Previous experience in administrative, office management, back-office, or similar roles. Experience in international companies, distribution, logistics, or the construction/architecture/design sector is a plus. Languages Bilingual English and Spanish (required). Strong verbal and written communication skills in both languages. Skills & Competencies Highly organized and detail-oriented. Strong ability to manage multiple tasks and priorities.
