Administrative Coordinator

The Administrative Coordinator is the first point of contact for our corporate office located in South Etobicoke. The ideal candidate will be responsible for managing front desk operations, admin support to all departments and ensuring a smooth and efficient daily workflow. This role requires excellent communication, organizational skills, and a proactive approach to various administrative tasks.

QUALIFICATIONS:

  • Proven experience in a reception or administrative role.
  • Proficiency in managing multi-line phone systems and email correspondence.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication abilities.
  • Ability to handle multiple tasks and prioritize effectively.
  • Proficiency in Google Workplace (Gmail, Sheets, Drive).
  • Attention to detail and a commitment to accuracy.
  • Ability to work independently and as part of a team.

Responsibilities
  • Answer incoming calls and direct them appropriately.
  • Greet and assist guests, providing a welcoming and professional first impression.
  • Monitor and manage the reception email inbox.
  • Manage incoming and outgoing mail, courier services and package deliveries
  • Sorting and distributing mail.
  • Order office supplies.
  • Support office operations with administrative tasks such as filing, maintaining records and basic data entry
  • Communicate with internal teams and external contacts to improve daily operations and resolve inquiries
  • Provide excellent customer service
  • Perform daily fingerprinting of invoices.
  • Conduct customer and vendor follow-ups regarding invoices or payments via email and phone as needed
