Compensation: $42,000–$52,000 base salary (DOE), full-time
About the Role: Ethical Media Group (EMG) is scaling operations for launch. We’re hiring a highly organized Administrative Coordinator to run back-office workflows, support leadership, and keep vendors, paperwork, and schedules moving smoothly. This is a builder role for someone who loves tidy systems, fast follow-through, and getting things done.

QUALIFICATIONS

  • 3+ years in admin/operations or office management (startup or production a plus).
  • Strong written communication; fast, accurate execution.
  • Comfortable with Google Workspace, Slack/Zoom, Teams, Excel/Sheets, Microsoft Word, Pitch Decks, familiarity with QuickBooks/Expensify and Airtable/Notion (or similar).
  • Detail-driven, trustworthy with confidential information; can lift/handle packages (up to ~30 lbs).
  • Valid driver’s license/reliable transportation; occasional evening/weekend event support.
    Nice to Have: Notary Public; basic bookkeeping; event coordination; interest in media/creative industries.

Responsibilities
  • Back-Office & Admin Support
  • Process invoices, receipts, reimbursements; collect W-9s/COIs; light AP/AR assistance in QuickBooks/Excel.
  • Reconcile company cards and expense reports; prep monthly packets for accounting.
  • Admin & Calendar
  • Own exec calendars, meeting prep (agendas, decks, notes), travel, and follow-ups.
  • Maintain team deadlines and action trackers; keep a clean task board.
  • Vendor & Office Ops: Source quotes, place orders, track shipments/returns, manage inventory/supplies.
  • Coordinate on-site needs (deliveries, visitors, meetings, events run-of-show).
  • Records, Docs & Compliance: Maintain organized drive/folders, naming conventions, SOPs, and checklists.
  • Log registered/trackable mail (e.g., RMail/USPS), keep permits/certificates current.
  • Creator/Partner Support: Prepare NDAs/welcome packets; schedule sessions; coordinate light event logistics.
