Job Summary:

  • Provide primary support for the clerkship director/site director in matters relating to the clerkship, and function as his/her representative, as requested.
  • Demonstrate consistent ability to communicate effectively and professionally with students and campus personnel of varying learning styles, temperaments, age groups, and cultural backgrounds.
  • Be comfortable as the liaison for the clerkship with off-campus community preceptors and community sites.
  • Understand thoroughly the curricular changes, goals and objectives, policies, and regulatory standards of the clerkship, department, and medical school.
  • Participate in the grading process and prepare final grades for submission. Assist with and prepare mid-clerkship materials for feedback.
  • Proctor shelf exams for students.
  • Create and maintain department-specific Excel spreadsheets.
  • Prepare and update accurate data analysis reports in a timely manner. This may include reports pulled from Banner, evaluation systems (B Line, E*Value), departmental program data reports, end of year grades reports, reports on student feedback trends, and/or reporting on the changes made within your clerkship due to student feedback.
  • Prepare and assist in a timely manner, the materials necessary for clerkship annual reviews.
  • Understand the major responsibilities of other interacting departments (i.e. student affairs, medical education/curriculum office, bursar, academic affairs, etc.).
  • Know the medical school calendar and courses offered. Work with clerkship team to ensure that the calendar is accurate and up-to-date at all times.
  • Participate in institutional, departmental, community or national meetings as ongoing professional development and to remain informed about current academic trends.
  • Prepare accurate and up-to-date clerkship materials for central monitoring.
  • Participate in and assist coordinate the clerkship orientation with detail and clear direction. Assist to coordinate.
  • Understand the institutional policies and procedures. Maintain up-to-date policies and procedures on file for the appropriate academic year.
  • Update, maintain, and monitor accurate BlackBoard data sites.
  • Maintain timely email and phone exchange and send reminders in support of the clerkship and institution, as needed.
  • Participate in the preparation of LCME accreditation materials in a timely manner.
  • Work with clerkship team to coordinate the details of the clerkship OSCE with the Clinical Skills Center and staff.
  • Assist with grades and coordination of information for the curriculum office for OB/GYN electives.
  • Coordinate shadowing experiences for medical students.
  • Coordinate the scheduling of 4th medical student sub-internships and specialty rotations in the department.
  • Participate as part of the medical student clerkship team to assure the program exceeds the expectations of the medical students, Department and University.
  • Provide support for other clerkship activities as directed by the clerkship director and/or departmental chair.
  • Assist with orientation and student contacts as needed.

Minimum Qualifications:
Bachelor’s Degree in an appropriate field and 2 years related experience. Will consider equivalent combination of education and experience. Skill set to include experience using and maintaining various computer applications.
Preferred Qualifications:
Excellent oral and written communication skills, competency in appropriate computer software applications, and good organizational skills.
Work Days:
Monday - Friday 8:00 am - 4:30 pm or 8:30 am to 5:00 pm
