SUMMARY OF POSITION:

The Baker Center for Children and Families (also known as Judge Baker Children’s Center), promotes the best possible mental health of children and families through the integration of research, intervention, training, and policy.
The Massachusetts Child Abuse Emergency Line (Emergency Line), operated by The Baker Center for Children and Families (The Baker Center), on behalf of the Massachusetts Department of Children and Families (DCF), is a statewide emergency response system dedicated to ensuring the safety and protection of children from abuse and neglect across the Commonwealth. Available 24 hours a day, 7 days a week, and 365 days a year, the Emergency Line provides critical services, responding to more than 70,000 calls each year.
The Emergency Line is seeking an Administrative Coordinator, who will work with the Leadership Team to support the work of the program. The Administrative Coordinator will support the Emergency Line program operations including, but not limited to, timely flow of communications with internal and external staff and key stakeholders, meeting scheduling and management, tracking daily statistics, supporting quality assurance and improvement activities, and project management. They will be responsible for administrative functioning including but not limited to tracking, monitoring, scheduling, logistics, and data entry. Presence is required one day/week on-site.

EDUCATION:

  • Associate’s Degree is required.

EXPERIENCE:

  • Minimum of two years of relevant work, internship, or volunteer experience.
  • Experience with note-taking and/or report-writing.

Responsibilities
  • Collaborates with Emergency Line leadership to establish and continually improves communication systems with internal staff as well as DCF and other key stakeholders.
  • Supports the Quality Manager with monitoring and reporting as required by DCF and the Emergency Line Quality Improvement Plan including, but not limited to, tracking performance of quality assurance activities, monitoring progress on quality improvement activities, and ensuring the timely submission of required reports to DCF.
  • Performs data entry as needed.
  • Produces reports and PowerPoint presentations in collaboration with Leadership Team members.
  • Ensures a continuous supply of training manuals and distributes informational/educational materials via email and US Postal Service as requested.
  • Supports the program activities with scheduling and meeting logistics for internal and external meetings.
  • Produces and distributes agendas and meeting minutes for Leadership Team meetings, staff meetings, supervisors’ meetings, and other meetings as requested.
  • Actively participates in required staff meetings and trainings.
