OVERVIEW

The Administrative Coordinator is responsible for providing both administrative and operational support to ensure a smooth and welcoming environment for children, families, and staff. This full-time role combines essential office coordination for the Refuge Education Center (REC) with office coordination and support in kitchen and facility operations for the early childhood program the REC operates, the Boston Square Early Learning Center. The Administrative Coordinator plays a vital part in upholding the aligned missions of the Refugee Education Center and the Boston Square Early Learning Center.

REQUIRED QUALIFICATIONS:

· Ability to relate well to young children, families, staff, and volunteers.
· Demonstrated positive approach to daily tasks and interruptions.
· Must obtain a Food Service & Sanitation Certificate within 3 months of employment.
· Proof of negative TB test and completion of all required training.
· Experience working with diverse communities; ability to show cultural humility across communities served.

DESIRED QUALIFICATIONS:

  • Associate’s degree and/or experience in an early childhood education or administrative setting.
  • At least 1 year of administrative support experience.
  • Experience in food service or kitchen support roles.
  • CDA or experience in early childhood education setting desired.

REQUIRED SKILLS:

  • Demonstrated ability to handle detailed oriented tasks.
  • Demonstrated flexibility and experience in a highly paced environment.
  • Ability to act with integrity, initiative, patience, and confidentiality.
  • Excellent time management skills.

Responsibilities

Administrative Duties:
· Greet visitors, answer phones, and maintain a warm, respectful environment for families and both Early Childhood and REC office staff.
· Organize daily office operations: mail handling, copying, supply inventory, and equipment maintenance.
· Support families with application processes (e.g., CDC Scholarship) and enrollment documentation.
· Maintain secure and organized filing systems, including confidential student and staff records.
· Assist with data collection and reporting (e.g., enrollment, attendance, assessments).
· Provide technical and administrative support to teaching staff.
· Participate in and help organize center-wide family engagement activities and professional development as assigned.
· Perform other duties as assigned by the Center Director.
· Adheres to all policies and procedures stated in the employee handbook.
Kitchen & Facilities Support Duties:
· Coordinate the preparation and delivery of meals to classrooms, ensuring allergies and dietary needs are followed.
· Support Assistant Teachers in collecting, washing, and sanitizing dishes, utensils, and serving items.
· Support Assistant Teachers in cleaning and maintaining kitchen and laundry areas: countertops, floors, trash removal, etc.
· Support Assistant Teachers in completing daily laundry tasks and distributing items as needed.
· Monitor pantry and food supply inventory; communicate needs for restocking to Center Director.
