UPMC Shadyside is currently seeking an individual to provide full-time administrative support as an Administrative Coordinator for our Nursing Administration team. About the Position: Our Nursing Administration team consists of three Clinical Directors & the Director of Operations, who oversee the operations of the majority of our inpatient nursing units. This is a fast-paced, high-impact role. Your work will directly impact the efficiency of hospital operations, including but not limited to managing essential reports, supporting hospital-wide initiatives, coordinating supply orders, and organizing key meetings. In addition, you will serve as an independent thinker, pulling data from Power BI to create administrative presentations, coordinating grants, including scheduling staff nurses for the Nurse Leader Residency program, and managing orthopedic classes for patients pending surgery. You will also be responsible for collating data to support Clinical Directors in making critical operational and clinical decisions. Excellent oral and written communication skills, along with high proficiency in creating Excel tables, are a must. Responsibilities: Plans conferences for the department and department head. Under general direction, coordinates the workflow of employee(s) and provides administrative support of a complex and technical nature to single or multiple departments or divisions (i.e., organizes, plans, and prioritizes work of others, develops and builds teams to accomplish project assignments). Performs all responsibilities of an Administrative Assistant Sr. Provides input to presentations and other department/supervisor work (i.e., supervisor provides general thought and ee will draft more material based on initial ideas). Reviews administrative procedures and operating practices and makes recommendations to increase efficiency. Assists in recruiting, hiring, training, and evaluating the performance of employees. Analyzes complex information requests and determines complex trends. Develops reports for the executive or department. Develops and sends correspondence on behalf of the department and department head (i.e., draft and send meeting minutes, draft and send meeting events). High school diploma or equivalent or an associate's degree. 5 years' experience in an increasingly responsible administrative support role required. Ability to perform advanced functions in word processing, electronic mail/calendar, spreadsheet, presentation, and database software. Ability to use applicable MS Suite products. Ability to order through Epro. Advanced knowledge of business processes and procedures. Working knowledge of accounting and financial principles and functions. Ability to analyze data.
