Description
We are seeking an Administrative Coordinator to provide administrative research support to the thriving and growing Center for Women’s Biobehavioral Health Research, directed by Dr. Rebecca Thurston. The Center is the home of several large-scale projects focusing on midlife women’s health. Dr. Thurston is Assistant Dean of Women’s Health Research in the School of Medicine and also directs a research training program. The Administrative Coordinator will play a key role in the day-to-day operations of the program. This position is grant funded. Responsibilities: Provide varied administrative support to the Center for Women’s Biobehavioral Health Research. Provide administrative support in working on grant proposals, progress reports, and IRB submissions. Assist with recruitment of pre- and post-doctoral fellows, including receiving and screening applications, scheduling interviews, and onboarding. Coordinate and perform administrative tasks and planning for Center events. Assist with public-facing materials for the Center and advertising program events. Develop and sends correspondence on behalf of program and Center Director (e.g., draft and send meeting minutes, draft and send meeting requests). Make travel arrangements, processes expense reimbursements, orders supplies, and manages calendars. Assist with manuscript preparation and submission. Provide input to presentations and other department/supervisor work (e.g., supervisor provides general thought and employee drafts more material based on initial ideas, creation of figures, editing slides, etc) Review administrative procedures and operating practices and makes recommendations to increase efficiency. Perform in accordance with system-wide competencies/behaviors. Perform other duties as assigned. High school diploma or equivalent or associates degree. Bachelor’s Degree preferred. 5 years experience in an increasingly responsible administrative support role required. Ability to perform advanced functions in word processing, electronic mail/calendar, spreadsheet, presentation and database software. Ability to use applicable MS Suite products. Advanced knowledge of business processes and procedures. Ability to use discretion and independent judgment. Capable of monitoring several projects and deadlines simultaneously while working on each effectively and accurately. Strong communication skills to work effectively with a diverse range of individuals. Prior work experience in a research environment preferred.
