Description
Under the direction of the Controller & Director of Accounting, the Administrative Coordinator is responsible for broad overarching support for the Member Services, Facilities, Staff Resources and Finance Departments. This role supports the day-to-day responsibilities of USEF with administrative duties including, but not limited to, providing incoming/outgoing mail support, managing general office supplies, proofreading department communications, managing overall department schedules, supporting special projects and initiatives, front desk/reception coverage and the processing of invoices and payments.  Duties and Responsibilities: * Support the USEF lobby/reception area * Sort, distribute, and manage all incoming/outgoing mail and packages for the Federation.  * Assist in preparing bulk mailings, including awards, promotional materials, tax documents or other official correspondence. * Monitor inventory levels of general office supplies, consumables and equipment. * Proactively order supplies, tracking expenses and maintaining vendor relationships.  * Assist with the processing of member payments and invoicing. * Assist in the preparation of presentations, reports, spreadsheets, and other project-related documents. * Support special projects, events, or other ad-hoc duties as assigned. * Ensure compliance with USEF policies and procedures. Required, Knowledge, Skills & Abilities: * Excellent verbal and written communication skills required. * Organized and detail-oriented with a commitment to accuracy and confidentiality. * Ability to work independently and collaboratively in a fast-paced environment. * Positive attitude, reliability, and a proactive approach to problem-solving. * Proficient in the use of Microsoft Office applications (Excel, Word, Outlook, PowerPoint…) Education and Experience: * A degree or minimum of two years of relevant experience is preferred. Physical Requirements: * Prolonged periods sitting at a desk and working on a computer. * Must be able to lift up to 10 pounds and occasional lifting and/or moving up to 25 pounds. (Anything over 25 pounds requires a two person lift).
