The Division of Housing and Ancillary Services is committed to providing a first-class experience in the areas of housing, hospitality services and retail services for undergraduate/graduate students and their families, staff and faculties at the Western communities, while supporting the academic mission of the University and ensuring profitability and cost effectiveness of the operation.
The Marketing and Communications team brings marketing perspectives and strategies into the Division’s decision-making and planning. We plan and deliver fully integrated marketing support across the Division. From digital campaigns to print collateral, from branding to sales promotions, we shape how the Division connects with students, staff, alumni and the wider community. We build brand identity, promote services, support sales and strengthen employee engagement through thoughtful and creative strategies. Whether it’s a recruitment brochure, a campus campaign, a website refresh or internal communications, our team works collaboratively to develop effective solutions that reflect Western’s values and drive financial results.

QUALIFICATIONS

Education:

  • Undergraduate Degree in Business Administration or Management & Organizational Studies
  • Canadian Institute of Management (CIM) designation is preferred

Experience:

  • One-year progressive administrative management experience, including financial management experience
  • Project management experience
  • Three-year progressive administrative management experience supporting a senior leader and/or team is preferred
  • Experience in an academic setting or public sector organization, particularly in student affairs would be an asset

Knowledge, Skills & Abilities:

  • Excellent verbal and written communication skills and confidence dealing with all levels of an organization
  • Familiarity with collection and analysis of data along with solid report writing skills
  • Basic to intermediate graphic design skill using Adobe InDesign
  • Ability to establish and build healthy working relations and partnerships with clients, peers and external stakeholders
  • Ability to work independently and effectively as a member of the team to achieve department goals
  • Advanced computer skills including spreadsheet design, creative presentation design, work processing and database management
  • Exceptional organizational skills, including managing competing priorities and an ability to adapt quickly to emerging priorities
  • Strong attention to detail and an ability to process information with a high level of accuracy
  • Strong proofreading abilities with an excellent command of the English language
  • Solid financial understanding, working knowledge of accounting principles, and skills in tracking expenses and creating budgets
  • Demonstrated project management skills with the ability to manage multiple projects from conception to completion within tightly prescribed timelines
  • Possesses a reputation for resourcefulness with a strong sense of accountability and initiative
  • Proven ability and natural inclination to interact with people in a professional, respectful and diplomatic manner
  • Ability to professionally handle challenging inquiries while demonstrating confidence and good judgment
  • Advanced problem solving skills and critical thinking to resolve complex issues
  • Well-developed facilitation and presentation skills
  • Ability to follow a flexible work schedule, including some holidays, evenings and weekend
  • Basic to intermediate skills using BeePro, Campaign Monitor, Canva, Airtable will be a nice plus
Responsibilities

The Administrative Coordinator reports directly to the Director of Marketing and Communications, and will provide a range of process, project, administrative and logistical support to senior leaders within Housing and Ancillary Services. This role supports the management of all administrative, financial and logistical functions for the Division. The role may participate on working committees and manage programs and/or projects ensuring Housing and Ancillary Services leaders have the required information, documentation, and resources to optimally manage divisional operations.
